Bookkeeper/Administrative Assistant

Title: Bookkeeper/Administrative Assistant
Reports to: New Futures Vice President of Finance and Operations

New Futures is New Hampshire’s leading nonpartisan, nonprofit, health policy and advocacy organization, that advocates, educates and collaborates to improve the health and wellness of all New Hampshire residents through policy change.

We are seeking a detail-oriented Bookkeeper/Administrative Assistant to assist in all aspects of New Futures administrative and event planning needs, and to assist the current bookkeeper with our shared service clients. This is a part-time, non-exempt position based in Concord, NH.

Primary Duties and Responsibilities:

Bookkeeping Duties

  • With the Vice President of Operations and Finance and Bookkeeper, participate in management of New Futures Accounting Software
  • Prepare checks to corresponding invoices on a weekly basis
  • Record cash receipts/bank deposits
  • Prepare a monthly reconciliation of every bank account
  • Conduct periodic reconciliation of all accounts to ensure their accuracy
  • With the Vice President of Finance and Operations, participate in the organization’s annual audit
  • Maintain an orderly accounting system, including the chart of accounts
  • Input the budget into QuickBooks annually
  • Enter payroll into accounting software
  • Maintains filing for deposits and bank reconciliations
  • Work with new and existing clients in New Futures Shared Services program, and complete duties as assigned
  • Other duties as assigned

Administrative Assistant/Event Planning Duties

  • Manage and maintain the President & CEO’s calendar
  • Assist with meeting scheduling, logistics, preparation, note taking and follow-up, as needed
  • Provide logistics and support for retreats, business meetings, annual meetings and events
  • Provide general support including copying, mailing, filing and retrieving daily mail
  • Prepare, enter or proofread data in any format, as requested by the Vice President of Operations and Finance
  • Set up procedures or checklists to maintain supplies for the entire office, including specific materials needed by teams, and do a weekly order when needed
  • Support workgroups and committees as assigned by the Vice President of Operations and Finance
  • Support Training Director in fulfilling the Training Materials Request Form
  • Serve as contact for phone inquiries from the general public, stakeholders, funders, etc.
  • Organize and maintain paper filing system and electronic files of necessary information
  • Execute mass mailings, as necessary
  • Set up and break down conference room for meetings
  • Other duties as assigned

Qualifications
Minimum requirements for this position include:

  • An Associate's degree in Accounting or Business Administration, with 4 years equivalent business experience, or a Bachelor’s degree in Finance, Accounting or Business Administration with 2 years equivalent business experience.
  • Solid understanding of basic bookkeeping and generally accepted accounting principles.
  • Proven ability to calculate, post and manage accounting figures and financial records.
  • Excellent interpersonal skills to serve New Futures shared service clients.
  • Well organized and eager to problem-solve internal and external office-related issues
  • High degree of accuracy and attention to detail. 
  • Strong administrative and organizational skills
  • Ability to function under pressure and meet strict deadlines
  • Demonstrated ability to work effectively as part of a high functioning professional team
  • Excellent written and verbal skills
  • Proficiency in the Microsoft Office Suite and QuickBooks are essential
  • Excellent critical thinking skills

Hours: This is a part-time, hourly, non-exempt position at 22.5 hours per week, which may be flexible at times.

Compensation & Benefits: New Futures offers competitive part-time benefits including: Life insurance; 403(b) retirement 5% salary match after 1 continuous year of employment; paid time off for individual holidays; sick, vacation and personal time; cell phone reimbursement; remote work options (as reasonably feasible based on position and nature of work); and, ongoing professional development opportunities, among others. Starting hourly wage for this position is $19 per hour.

About the Job

Description

New Futures, New Hampshire’s leading health policy and advocacy organization, is seeking an innovative and detail-oriented Communications Coordinator to support its external messaging, marketing and public relations work.  New Futures is a nonpartisan, nonprofit organization that works to solve problems through policy change.  The Communications Coordinator will work with New Futures’ Communications team, as well as Policy and Community Engagement staff, to execute a comprehensive communications strategy to support legislative and advocacy efforts,  and to support the communications needs of contracted partner organizations through New Futures’ Shared Services Program. This is a part-time, exempt position based in Concord, NH. 

The individual in this position must be collaborative, well-organized, and have exceptional, demonstrated written and digital production skills.  The Communications Coordinator will help to develop and distribute print and electronic communications, including but not limited to fact sheets, graphic one-pagers, emails, social media, and website updates for New Futures and contracted shared service partners, including local and regional non-profit advocacy and charitable organizations.  The ideal candidate will have knowledge of public health policies and New Hampshire’s political dynamics.  The Communications Coordinator will report to the Communications Director and will work collaboratively with New Futures’ staff, strategic consultants, contracted Shared Services partners and others. 

Primary Duties and Responsibilities:

  • In collaboration with New Futures’ Communications Director and policy staff, develop content for both print and web communications, including the organization’s website, social media, email program, video content, and editorial pieces;
  • Develop and execute innovative content for web and social media, with heavy emphasis on graphic design;
  • Help prepare statements, press releases, editorials, op-eds and other materials to increase public awareness and expand support for New Futures policy priorities;
  • Field and execute requests from contracted partner organizations through Shared Services program to provide communications-related services, including print and digital materials, social media, website updates, event support and more;
  • Other duties as assigned.

Qualifications
This position requires at least one year of work experience or a Bachelor’s Degree from a recognized college or university, preferably in communications, marketing, journalism, English, public relations or a related field.  

  • Exceptional written and digital communication skills; 
  • Well-organized and eager to collaborate with other staff, stakeholders and allied partner organizations in advancing policy goals;
  • Excellent attention to detail;
  • Ability to meet strict deadlines;
  • Excellent interpersonal skills to serve New Futures staff and external stakeholders including New Futures board members, vendors, partner organizations, and the general public;
  • Ability to develop strong and effective working relationships with diverse and multi-cultural constituencies including New Futures staff, policymakers, the media, and others; 
  • Knowledge of Microsoft Office, graphic design and video production tools (Canva, Adobe or similar), targeted emails, CMS technology, Google analytics and SEO, and social media platforms;
  • Internet research skills;
  • Willingness to experiment with and learn new media and software in order to maximize best practices for New Futures outreach and advocacy efforts;
  • Ability to maintain a professional work environment at all times.

Hours: This is a part-time position at 30 hours per week with a salary range of $41,000 - $43,000.
